Q. How to create ATL PO’s?

A. This will help you in understanding steps to create ATL Purchase Orders


Step 1: Open Marketing Purchase Order app
Step 2: Go to Estimates
Step 3: Click on Action button and select “Create PO” option

Step 4: Click on “Yes”

Step 5: Review the details, add Cost Center, Terms and Conditions, Remarks and Description values and then click on “Save PO” to create the PO.



Q. How to Accept, Not Accept, and Delete estimates?

A. This will help you in understanding steps to Accept, Not Accept, and Delete Estimates


Step 1: Open Marketing Purchase Order app
Step 2: Go to Estimates
Step 3: Click on Action button and select the action to be performed on the estimate- Accept, Not Accept, and Delete


Note: Estimate can be deleted if it is in Unaccepted or New state



Q. How to Link and De-link estimates from PO’s?

A. This will help you in understanding steps to Link and De-link estimates from PO’s


Note: Linking and Delinking of estimate can be done if the PO is in New or Rejected state

Step 1: Open Marketing Purchase Order app
Step 2: Go to ATL POs
Step 3: Click on Action Button

Step 4: Click on Delink Estimate option

Step 5: User will receive a success notification after delinking of the estimate

Step 6: User can link the estimates by clicking on Link estimate option available in actions

Step 7: Select one estimate and click on “Link”

Step 8: Review the PO details and click on Save PO button to update the new estimate details to the existing PO



Q. How to Send PO’s for Approval/Verification?

A. This will help you in understanding steps to Send PO’s for Approval/Verification


Step 1: Open Marketing Purchase Order app
Step 2: Go to ATL or BTL POs
Step 3: Click on Action Button of the PO which needs to be sent for further approval/verification

Step 4: Select “Send for Approval” option

Step 5: Select next Verifier or Approver and then click on “Send” to send the PO to next stage for verification/approval

Step 6: User will get a success message once the PO is sent to next stage for verification/approval



Q. How to Share PO’s with Vendors?

A. This will help you in understanding steps to Send PO’s for Approval/Verification

Note: Only Approved PO’s can be shared with agency/vendor

Step 1: Open Marketing Purchase Order app
Step 2: Go to ATL or BTL POs
Step 3: Click on “Share with Agency” button

Step 4: Select Medium, Vendor, and Period. Search for the PO number
Step 5 Select the PO and then click on “Share/Hide with Agency” button

Step 6: User will receive a success message once the PO is shared



Q. How to Cancel, Stop, and Close PO’s?

A. This will help you in understanding steps to Cancel, Stop, and Close PO’s 


Step 1: Open Marketing Purchase Order app
Step 2: Go to ATL or BTL POs
Step 3: Click on the action button of the PO and select “Cancel PO” option

Step 4: User gets a confirmation message, User needs to click on “OK” to cancel the PO

Step 5: User gets a confirmation to re-use the estimate or job linked to the PO

Step 6: If user selects Yes then estimate and job can be reused or the job and estimate will get cancelled with the PO

Step 7: User gets a success message saying PO has been cancelled and user can download the Cancelled Copy of the PO from the system


How to Stop PO?


Note: Only Approved PO’s can be stopped

Step 1: Open Marketing Purchase Order app
Step 2: Go to ATL or BTL POs
Step 3: Click on the action button of the PO and select “Stop PO Operation” option

Step 4: Enter the Stop operation value and a valid reason, then click on OK to stop PO operation on the entered amount limit. User cannot consume more than the stopped limit amount

Step 5: User will receive a Success message



How to Close PO?

Note- Only Approved PO’s can be Closed

Step 1: Open Marketing Purchase Order app
Step 2: Go to ATL or BTL POs
Step 3: Click on the action button of the PO and select “Close PO” option

Step 4: User will get a confirmation message to close the PO

Step 5: If the User clicks on “Yes” then the PO gets closed and no further consumptions can be done against it also user gets a successful message




Q. How to download a PO report?

A. This will help you in understanding steps to download PO report


Step 1: Open Marketing Purchase Order app
Step 2: Go to Reports
Step 3: Select Medium, Brand, Type, Cost Centre, and Period then click on PO report button 

Step 4: PO report gets download and user can access the same



Q. How to view and download documents against the PO’s?

A. This will help you in understanding steps to view and download documents against PO? 

Step 1: Open Marketing Purchase Order app
Step 2: Go to estimates
Step 3: Click on action button and select “Attach Documents” option
Step 4: User will get a section where user can view all attachments document type wise

Step 5: By clicking on the “Download” button user can download the attachments/supporting     of the PO. Also, user can upload new attachments if needed




Media Estimates, Schedules, and Bills

Q. 
How to import new estimates?

A. This will help you in understanding steps to import estimates


Step 1: Open Media Estimates, Schedules, and Bills app
Step 2: Go to Estimates in the left menu and select Import option

Step 3: Download the medium wise template

Step 4: Enter the data in the estimate sheet
Step 5: Enter the details in the estimate import form and then click on Save & Continue

Step 6: Chose the estimate sheet in which user has updated the details, click on “Apply”  and then click on Save & Continue

Step 7: Correlate the excel values with the application masters and then click on Save & Continue

Step 8: Upload the supporting, select the document types against the attachments and then click on Save & Continue

Step 9: Review the details of the estimates and then click on Save file

Step 10: Check the status of the import process and at the end, the user will get a successfully imported message. Click on OK and view the estimate in the View Estimate section



Q. How to view supporting documents?

A. This will help you in understanding steps to view supporting documents


Step 1: Open Media Estimates, Schedules, and Bills app
Step 2: Go to Estimates in the left menu and select View option

Step 3: Click on attachment icon

Step 4: User can view document type wise attachments

Step 5: Open the document type, and view all the documents in it
Step 6: User can click on download button to download the document on the local machine



Q. How to view and download Purchase Orders?

A. This will help you in understanding steps to download Purchase Orders

Step 1: Open Media Estimates, Schedules, and Bills app
Step 2: Go to “Purchase Order” in the left menu

Step 3: User can view the list of Purchase orders, to view and download the PO user needs to click on action button and select “View Documents” option

Step 4: Expand ATL PO section and click download button




Q. How to Share PO’s with Vendors via application?

A. This will help you in understanding steps to share Purchase Orders with vendors via applications

Step 1: Open Media Estimates, Schedules, and Bills app
Step 2: Go to “Purchase Order” in the left menu

Step 3: User can view the list of purchase orders, to share the PO user needs to click on ”Share with Agency” button

Step 4: Select the Medium, Vendor, and Period from the filters and then select the PO’s which are to be shared with the vendors

Note- Only Approved PO’s can be shared with the vendors


Step 5: Then enter the email id’s of the vendor users, enter message if needed and the click on “Share with Agency” button

Step 6: Then user will receive success message, once the PO’s are shared with agency




Q. How to import monthly Schedules?

A. This will help you in understanding steps to import monthly schedules

Step 1: Open Media Estimates, Schedules, and Bills app
Step 2: Go to “Schedule“ in the left menu and select Import option

Step 3: Select the medium and Purchase Order, check the details and then click on “Save & Continue”

Step 4: Browse the Schedule file from the local machine created by the user, then click on “Save & Continue”

Step 5: Check for the new correlation and update them using select option, if all the values are already correlated then click on “Save & Continue”

Step 7: Browse the supporting documents and select the document types against them, then click on “Save & Continue”

Step 8: Review the details of the Schedule and then click on “Save”

Step 9: Check the import status of the Schedule, once the schedule gets imported then user gets the successful message and the user gets a notification in email.

Step 10: To view the schedule user needs to click on “Launch Schedule” button




Q. How to import Media Bills?

A. This will help you in understanding steps to import media bills

Step 1: Open Media Estimates, Schedules, and Bills app
Step 2: Go to “Bills“ in the left menu and select Import option

Step 3: Select medium and PO, check the details of the document and click on “Save & Continue”

Step 4: Browse the Bill from the local machine and upload it in the system, then click on “Save & Continue”

Step 5: Check for the new correlations and correlate them with the application masters, then click on “Save & Continue” 

Step 6: Browse the supporting documents from the local machine, add the document type and Bill no, then click on “Save & Continue”

Step 7: Update the Taxes and Commission, then click “Save & Continue”

Step 8: Review the details of the Bills which you are trying to import, then click on “Save & Continue”

Step 9: Check the status of the Bill import process, after success message then user needs to click on “Launch Bill” button to view the Bill imported by the user 




Q. How to import Sub vendor Bills?

A. This will help you in understanding steps to import media bills

Step 1: Open Media Estimates, Schedules, and Bills app
Step 2: Go to “Bills“ in the left menu and select “Sub Vendor Bills” option

Step 3: Download the template, fill the sub vendor bill details and import the file in the application

Step 4: Select the Medium, Vendor and PO.

Step 5: Select the Bill number against which sub vendor bills needs to be updated and then click on “Save & Continue”

Step 6: Browse the template from the local machine in which you have entered all the sub vendor bill details, click on apply to validate the template and on success click on “save & continue” to proceed to next step

Step 7: Review the sub vendor bill and click on “Save”

Step 8: Check the import status of the sub vendor bill and successful import click on “Launch” button to view the bill

Step 9: Click on View to check the details of the Agency  bill and go to Sub Vendor Details tab  check  the Sub vendor bill details




Q. How to download reports related to Estimates?

A. This will help you in understanding steps to download estimate reports

Step 1: Open Media Estimates, Schedules, and Bills app
Step 2: Go to “Estimates“ in the left menu and select “View” option

Step 3: Select Medium, select the list of estimates and click on download button to download spot level data of the estimates




Q. How to download reports related to Schedules?

A. This will help you in understanding steps to download schedule reports

Step 1: Open Media Estimates, Schedules, and Bills app
Step 2: Go to “Schedules“ in the left menu and select “View” option

Step 3: Select the medium and PO

Step 4: Select the Schedules and click on “Schedule Status report” button  to generate the Status report of the selected schedules

Step 5: Select the Schedules and click on “Schedule Spot Details” button to generate the spot details report of the selected schedules.




Q. How to download reports related to Bills?

A. This will help you in understanding steps to download bill reports

Step 1: Open Media Estimates, Schedules, and Bills app
Step 2: Go to “Bills“ in the left menu and select “View” option

Step 3: Select the Medium, Brand, Vendor, PO and time period to get the list of bills
Step 4: Select the bills against which you need to generate the reports

Step 5: Click on “Bill status report” button to generate status report of selected bills.
Step 6: Click on “Bill summary” button to generate status report of selected bills.


Note- This report shows bills details along with violation details of the spots available in the selected bills.

Step7: Click on “Bill Spot Details” button to generate spot details report of the selected bills.

Step 8: Click on “Sub Vendor Details” button to generate a report of sub vendor details updated against the selected bills.




Q. How to raise and close exceptions against the bills?

A. This will help you in understanding steps to raise and close exceptions

Step 1: Open Media Estimates, Schedules, and Bills app
Step 2: Go to “Bills“ in the left menu and select “View” option

Step 3: Click on “Exceptions” button to raise the exception

Step 4: Click on “Add Exception” button to raise the exception against the selected Bill

Step 5: Select” Type”, “Violation Type”, ”Amount”, “Attachment”, “Add comment” and the user who needs to be notified and then click on “Add” to raise an exception.

Step 6: After raising the exception you can resolve the exception by clicking on “Resolve” button

Step 7: Add comments, add attachments and click on “Resolve” button to resolve the exception

Step 8: You will get the success message and you can check the status of the exception in the exception tab
